Summary of Work Activities and Responsibilities:
Under the supervision of the Director of the Testing and Research Office, the Testing Assistant assists in the testing preparation, encoding, and filing of the psychological tests for both the Junior and Senior High School. The position assists in the checking and encoding of evaluations, surveys, and other research - related activities of other offices of the High School.
Main Duties and Responsibilities:
A. Perform frontline duties
- Handles inquiries, requests, and other concerns of students, parents, or guests.
- Photocopies and distributes outgoing communications to the concerned department.
- Receives and screens incoming calls.
B. Provide various research assistance to the Testing and Research Director
- Encodes and tabulates raw data in surveys and evaluations (both quantitative and qualitative) requested by various offices in Senior (and Junior) High School (e.g., Class Moderator Evaluation, APSAF activities, Faculty Evaluation, Field Trips, Retreats/Recollections, Guidance talks, etc.).
- Assists in the profiling and filling of regular and special testing and research activities required by the unit.
- Manages the generation, organization, and distribution of High School psychological test profiles for parents' test interpretation and other school- related testing activities.
- Supports the TRO team in facilitating the administration and scoring of guidance, admissions, and sequential tests, with supervision and training from the TRO Director
C. Makes an inventory of testing materials (Student and Faculty)
- Updates inventory of test booklets and answer sheets administered to students and faculty.
- Prepares and accounts for testing materials before and after administration of tests.
- Prepares test booklets, answer sheets, pencils, and timers that will be used in test administration.
D. Assists in the administration of regular, special testing of government-mandated exams such as NCAE, NAT, and High School Entrance Examinations.
- Prepares test materials for proctors in the National Career Assessment Examination (NCAE) and the National Aptitude Test (NAT).
- Supports the testing team in the distribution of test materials
E. Records office budget and office expenses.
- Monitors availability of the office supplies and makes appropriate requisitions when needed (making order for check or on EREQ).
F. Updates inventory of test booklets and answer sheets for faculty recruitment testing.
G. Prepares logbook for receiving purposes (test results for interpretation to students, and other confidential data)
H. Routes letters, memos, reports, and other correspondence to various offices.
I. Types letters, memos, announcements, and basic correspondence.
J. Handles confidential and sensitive information in accordance with university policies and data privacy guidelines.
- Maintains the confidentiality and proper handling of psychological test results, student and faculty records, research data, and other sensitive office documents.
- Ensures that confidential files and information are properly stored, accessed, released, and disposed of.
- Exercises discretion when handling inquiries, records, and communications involving students, parents, faculty, and other stakeholders.
K. Performs other duties as assigned from time to time
Minimum Qualifications
Knowledge, Skills and Abilities:
- Record Management - skills in managing and keeping track of the variety and volume of data regarding faculty and students' needs and requirements; skills in safeguarding confidential records, files, and other matters internal to the Department.
- Attention to detail - achieves thoroughness and accuracy when accomplishing a task through concern for all the areas involved.
- Time Management - manages one’s own time, effectively juggles multiple tasks.
- Technology Savvy - can use the organization’s computer system and basic computer software relevant to the job (MS Applications).
- Teamwork - works cooperatively with others towards a common goal.
Education and Experience Requirements:
- Bachelor’s Degree in Psychology or related field, Computer Science
- With 2-3 years of experience in a related field
