Job Description
The Digital Twin Studio Coordinator is responsible for coordinating the end-to-end process of creating digital twin videos for Ylopo clients using HeyGen's Digital Twin Studio. This role serves as the operational link between clients and the Digital Twin Studio production process—from collecting and validating the client's original video and consent to generating digital twin videos, testing scripts, and performing initial quality control. The ideal candidate is highly organized, detail-oriented, comfortable working with technology and video-based tools, and has a strong visual eye for identifying what looks natural, professional, and on-brand. The role requires someone who can confidently follow up with clients, troubleshoot basic issues, and maintain a high standard of quality throughout the digital twin creation process.
Job Responsibilities
- Client Video Collection & Coordination
- Coordinate with Ylopo clients to collect the original video recording required to create their digital twin.
- Clearly communicate video recording requirements, specifications, and submission instructions to clients.
- Review submitted videos to ensure they meet the required technical and quality standards before processing.
- Identify missing or inadequate submissions and communicate specific requirements for resubmission.
- Follow up with clients via email or text to keep video submissions moving forward and prevent delays.
2. Consent & Documentation
- Ensure clients complete the required consent form/link authorizing Ylopo to utilize their submitted video for digital twin creation.
- Monitor outstanding consent requirements and follow up with clients as needed.
- Maintain accurate records of video submissions, consent completion, status, and outstanding client requirements.
- Ensure videos are not processed until the appropriate consent requirements have been completed.
3. Digital Twin Production
- Upload and process approved client videos using HeyGen Digital Twin Studio.
- Generate digital twin videos using different available looks, settings, and configurations.
- Run test scripts to evaluate the digital twin's appearance, voice, delivery, and overall presentation.
- Make appropriate adjustments within the available Digital Twin Studio settings to improve output quality.
- Become highly familiar with the Digital Twin Studio workflow and continuously improve efficiency and output quality.
4. Quality Control & Attention to Detail
- Review generated videos carefully for visual and presentation quality.
- Develop a strong eye for what looks natural, professional, and appropriate for Ylopo clients.
- Identify issues such as unnatural movements, facial expressions, lip synchronization, visual inconsistencies, awkward delivery, or other quality concerns.
- Conduct basic quality control before videos move forward in the production process.
- Flag significant issues or limitations to the appropriate person and recommend adjustments when possible.
- Maintain consistency in quality across different client digital twins.
5. Workflow & Communication
- Maintain an organized pipeline of clients at different stages of the digital twin process.
- Track pending videos, client follow-ups, consent completion, production status, testing, and quality control.
- Communicate status updates and potential delays to Aaron Franklin.
- Identify recurring issues in the client submission or production process and suggest improvements.
- Help establish and refine repeatable processes and best practices for Digital Twin Studio production.
Minimum Qualifications
Qualifications
- Strong organizational and follow-up skills.
- Excellent attention to detail.
- Comfortable learning and working with new software and technology.
- Strong written communication skills, particularly for client-facing email and text communication.
- Ability to manage multiple clients and tasks while maintaining accurate records.
- Good visual judgment and an ability to recognize when video content looks polished, natural, and professional.
- Ability to work independently in a remote environment.
- Willingness to work hours that overlap with the majority of U.S. business hours.
Preferred
- Experience working with video creation, editing, AI video tools, or digital content platforms
- Experience with HeyGen or similar AI video/avatar platforms.
- Experience in client coordination, customer support, operations, virtual assistance, or project coordination.
- Familiarity with basic video quality concepts such as framing, lighting, audio, lip synchronization, and video presentation.
- Experience working with U.S.-based clients or remote teams
- Schedule: Flexible, with expected overlap during majority of U.S. business hours
System Requirements:
- Processor should be 2 ghz and above, Intel core 5/7 or equal is highly required
- MUST have the latest Operating System (Windows - Windows 11 / Mac - Ventura / Sonoma)
- RAM should be at least 16 GB with at least 100 GB free space
- MUST have a back-up Computer with the same specs as the main device
- A Headset with noise cancelling feature is a must
- At least 20 mbps & up wired connection for main isp
- Back up internet is a must (pocket wifi, prepaid wifi etc. but strictly no USB Sticks allowed)
- Back up power source
