Job Description

  1. Support sales operations and documentation by assisting the sales team in preparing, organizing, and maintaining all required sales-related records, proposals, contracts, and internal reports, ensuring accuracy, completeness, and timely submission of document.

  2. Prepare and manage bid requirements by coordinating the collection of technical, financial, and compliance documents, reviewing bid specifications, tracking submission deadlines, and ensuring that all bid packages meet client and regulatory requirements.

  3. Monitor project opportunities by regularly tracking leads, requests for proposals, and potential engagements, maintaining an updated pipeline of opportunities, and providing timely updates to management on the status and viability of each project.

  4. Coordinate with suppliers and internal teams by facilitating communication between sales, technical, finance, and operations units, as well as external vendors, to ensure alignment on project requirements, pricing, deliverables, and timelines.

  5. Carry out ad hoc tasks as needed by supporting management and project teams with additional administrative, coordination, or analytical duties that arise in the course of daily operations.

Minimum Qualifications

  • A Bachelor’s degree in Computer Engineering, Information Technology, Business Administration, Management, or any related field, providing a solid academic foundation relevant to sales operations, coordination, and documentation.

  • Previous experience in sales administration or customer support is preferred, as it demonstrates familiarity with client coordination and internal processes. However, fresh graduates with strong organizational and communication skills are highly encouraged to apply.

  • Proficiency in MS Office and Google Workspace, with the ability to efficiently create, manage, and maintain documents, spreadsheets, presentations, and trackers necessary for sales and operational reporting.

  • Strong verbal and written communication skills, enabling clear and professional interaction with clients, suppliers, and internal teams across different levels of the organization.

  • Excellent organizational and time-management abilities, with the capacity to handle multiple tasks, prioritize deadlines, and maintain accurate records in a fast-paced work environment.

  • High attention to detail and accuracy in documentation, ensuring that all sales, bid, and project-related materials are complete, compliant, and free from errors.

  • Ability to coordinate effectively with sales teams, clients, suppliers, and internal departments, facilitating smooth information flow and timely completion of tasks.

  • Capability to create clear and concise reports, trackers, and presentations to support sales monitoring, project updates, and management decision-making.

  • A background in procurement processes or bidding procedures is an advantage, as it provides familiarity with supplier coordination, bid documentation, and compliance requirements.
