- Manage complex, ever-changing calendars including scheduling internal and external meetings, board sessions, and personal appointments
- Act as the primary point of contact between the executive(s) and internal/external stakeholders
- Screen, prioritize, and respond to correspondence (emails, calls, messages) on behalf of the executive
- Prepare and distribute briefing materials, presentations, reports, and meeting agendas
- Record and circulate accurate minutes of meetings and follow up on action items
- Handle confidential documents and sensitive information with the utmost discretion
- Liaise with internal departments, board members, and high-profile external parties professionally
- Assist with personal tasks and errands as directed by the executive
- Manage personal appointments, family scheduling, and lifestyle coordination as required
Minimum Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field (preferred)
- Minimum 3–5 years of proven experience as an Executive Assistant or Personal Assistant, specifically supporting C-Level or Senior Leadership
- Demonstrated ability to step into a role quickly and operate independently with minimal handover time
- Exceptional organizational skills with the ability to manage multiple priorities under pressure
- Strong written and verbal communication in both formal and informal settings
- High proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom, Google Workspace)
- Excellent time management and ability to meet tight deadlines
- Sharp problem-solving and anticipatory thinking — identifying needs before they arise
- High level of emotional intelligence and interpersonal skills
- Absolute discretion and confidentiality in all matters
