Key Responsibilities include but are not limited to:
HR Administration & Compliance
Employee Records & Documentation
- Maintain 100% accurate and updated employee 201 files (digital and physical)
- Prepare employment contracts, JO letters, memos, and HR notices
- Monitor probationary evaluations and regularization schedules
- Ensure confidentiality of all employee data
Internal operations
- Coordinate with suppliers and contractors related office/company operating requirements
- Manage and process select transactions under operating expenses
- Manage and administer attendance, leave management, employee benefits, government-mandated contributions, and overall compliance with employment laws.
Payroll & Timekeeping Support
- Consolidate timekeeping data (attendance, OT, leaves, OBs)
- Coordinate payroll concerns with HR & Accounting teams
- Monitor leave balances and ensure accurate documentation
Internal, Government & Statutory Compliance
- Process and monitor SSS, PhilHealth, Pag-IBIG, and BIR requirements alongside Accounting the team
- Ensure compliance with DOLE regulations
- Assist in audits and documentation requirements
Policy Implementation
- Champion and enforce company policies consistently
- Assist in drafting and revising HR policies and important announcements and;
- Cascade memos and announcements
- Assist and Monitor disciplinary processes and documentation
Recruitment & Talent Acquisition
Manpower Planning Support
- Collaborate with department heads to assess workforce needs and develop comprehensive staffing plans alongside the HR Manager.
- Consolidate and validate manpower requests with 3rd party agency/ies
- Monitor approved headcount vs actual headcount
Recruitment
- Participate in sourcing strategies including job postings, social media recruitment, referral programs, and partnerships with agencies.
- Manage the full recruitment cycle: screening, interviewing, assessments, background checks, and offer negotiations.
- Post job ads on job portals and social media
- Source candidates proactively (LinkedIn, referrals, campus hiring)
- Perform background checks and reference checks
- Prepare job offers and manage onboarding process
- Maintain recruitment tracker
Onboarding / Offboarding
- Ensure complete pre-employment requirements
- Facilitate new hire orientation
- Monitor first 90-day performance feedback
Employee Engagement & Culture Building
Employee Experience
- Co-lead engagement activities (town halls, events, recognition programs)
- Monitor employee satisfaction and engagement pulse surveys
- Support internal communications initiatives
- Create engagement calendar
Culture & Retention
- Implement/improve awards and recognition programs
- Monitor attrition and exit interviews
- Recommend engagement improvements based on feedback
Events & HR Initiatives
- Organize company events, team buildings, and CSR activities
- Support wellness programs, and morale initiatives
- Create events calendar for hallmark holidays/observations and employee milestones
Performance & Feedback Support
- Assist in performance appraisal cycles (KRA/KPI)
- Track KPI submission compliance
- Support coaching and development programs
Minimum Qualifications
The HR & Admin Associateis responsible for executing core HR functions with strong focus on HR Administration, Employee Engagement, and Recruitment. This role ensures operational efficiency in HR processes, enhances employee experience, and supports organizational growth by hiring the right talent on time.
This role is a position of high trust and confidence and requires strict attention to detail, strong coordination skills, and a proactive, balanced people and management/company mindset.
Minimum Qualifications
- Bachelor’s Degree in Psychology, Human Resource Management, or related field
- 1–3 years HR experience (with recruitment and hiring platform experience required)
- Strong knowledge of Philippine labor laws and government benefits (Basic labor laws at the minimum)
- Experience in retail or e-commerce is a big plus
- Proficient in MS Office/Google Workspace
- Strong interpersonal and communication skills
