The Records Officer ensures that accounting records are properly accounted and filed and there is enough storage for them. Acts as a document custodian in-charge of the proper safe keeping of documents and make certain compliance to the defined minimum retention policies and to ensure availability during internal and external audits.
Key Responsibilities
• Comply with the retention schedule and deals with archiving, storage and destruction of obsolete records.
• Control finance documents filing, retrieval upon receipt of an approved request and monitoring the return of retrieved documents
• Ensure completeness of the records based on the transactions extracted from the accounting system. • Perform other task that may be assigned from time to time by line manager.
• Continuously evaluate and improve records management processes to enhance efficiency and effectiveness.
Minimum Qualifications
- Graduate of any four (4) year business related course
- At least 1 year of experience of administrative task
- Proven experience managing documents and archiving operations
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access)
- Multi-tasking and time-management skills, with the ability to prioritize tasks
- Highly organized and detail oriented.
- Basic computer (MS Office) skills
- Skills in operating office machines/ equipment (facsimile, telephone, printer, photocopying machine)
