BuyBuddy is a fast-growing lifestyle subscription startup. Our founders are hands-on, execution-driven, and involved in day-to-day operations. We’re looking for a highly organized Executive / Founder’s Admin Assistant to support the founders and C-level team in managing daily tasks, coordination, and follow-through.
This role is ideal for someone who enjoys being a right-hand support, thrives in a fast-paced environment, and knows how to stay one step ahead.
The Executive Admin Assistant will directly support the Founder and employed C-level executives by handling daily administrative tasks, coordination, reminders, documentation, and follow-ups—freeing leadership to focus on strategy and growth.
Key Responsibilities
- Founder & Executive Support
- Assist Founder and C-level team with daily administrative tasks
- Manage schedules, calendars, meetings, and reminders
- Track to-dos, follow-ups, and action items from meetings
- Help prepare documents, presentations, trackers, and reports
- Handle emails, messages, and internal coordination as assigned
- Coordination & Follow-Ups
2. Coordinate with internal team members, partners, and suppliers
- Follow up on assigned tasks, deadlines, and deliverables
- Keep leadership organized and updated on priorities
- Assist in basic research and information gathering when needed
3. Admin, HR & Finance Support (Light)
- Organize and maintain digital files and records
- Assist with expense tracking, receipts, and basic documentation
- Support HR and payroll-related paperwork (attendance, forms, onboarding docs)
- Coordinate with Accounts/HR Officer for required submissions
Minimum Qualifications
Qualifications
- At least 1–3 years experience as an admin assistant, executive assistant, or similar role
- Highly organized, reliable, and detail-oriented
- Strong communication and follow-up skills
- Comfortable handling confidential and sensitive information
- Able to multitask and manage shifting priorities
- Tech-comfortable (Google Workspace, spreadsheets, email, messaging tools)
