Job Description

Summary of Responsibilites

The Student Discipline and Gender Administrator serves as the primary handler of assigned disciplinary cases. The role conducts assessments and investigations, facilitates disciplinary processes, and supports the fair, timely, and consistent resolution of cases in accordance with University policies. It also manages gender-related, special-needs, at-risk, and conflict concerns; coordinates interventions and referrals; promotes student welfare and accountability; and supports Section operations and staff supervision.

Main Duties and Responsibilities

Case Management

  • Reviews complaints, incident reports, testimonies, and supporting evidence, and conducts intake investigations through interviews, document or video review, and site visits.
  • Evaluates case merits and applicable precedents, discusses developments with the Section, and prepares objective findings and recommendations.
  • Monitors compliance with summons, deadlines, sanctions, hearings, and other requirements; coordinates hearing logistics; and prepares and releases notices, resolutions, disposition letters, and clearances.
  • Provides updates and assistance to complainants and respondents, coordinates with the Discipline Committee and relevant offices, conducts welfare checks, and facilitates appropriate support referrals.

Gender Administration

  • Serves as the Section’s Gender Officer and handles gender-related cases and concerns referred by the different University Offices.
  • Coordinates required reporting, maintains confidential physical and digital case records, and supports compliance with the Safe Spaces Act and related gender laws and requirements.
  • Conducts orientations, gender-sensitivity training, and information and education campaigns, and serves as a resource person on gender-related offenses and safe spaces.

Special Needs and Conflict Management

  • Handles cases involving students with special needs or at-risk behavior and referrals for Preliminary Conflict Management; provides general psycho-emotional support; coordinates professional referrals; and escalates high-risk cases appropriately.
  • Supports mediation and dispute resolution and documents outcomes and agreed action points.

Section Management Support

  • Assists the Head with daily operations, process and program reviews, priority-setting, policy development, and service improvement.
  • Analyzes incident and investigation data, emerging trends, and regulatory developments to recommend policy and operational improvements.
  • Oversees discipline records and databases, ensuring accuracy, confidentiality, data protection, and easy retrieval.
  • Reviews administrative and financial transactions and budget documents, and supports budget preparation and monitoring.
  • Supervises direct reports through work allocation, coaching, goal-setting, performance evaluation, and development support.
  • Performs other related duties assigned by authorized supervisors.

Knowledge, Skills, and Abilities

  • Knowledge of gender and development, gender sensitivity, the Safe Spaces Act, student conduct and academic integrity policies, and the needs of students with disabilities or at-risk behavior.
  • Strong case management and impartial investigation skills
  • Ability to manage sensitive cases, facilitate conflict resolution, provide appropriate first-response support, and coordinate professional referrals.
  • Excellent communication, facilitation, report writing, stakeholder management, records and data management, confidentiality, policy development, planning, leadership, coaching, adaptability, and attention to detail.

Minimum Qualifications

Education and Experience Requirements:

  • Bachelor’s degree in Psychology, Social Work, or Education
  • At least five (5) years of relevant work experience
  • At least two (2) years of supervisory experience
  • Work experience in counseling, coaching, and formation, an advantage
  • Work experience in a school setting, an advantage
