Summary of Work Activities and Responsibilities:
The Accounting Assistant V is responsible for administering student accounts functions for the Ateneo School of Government and the Ateneo School of Medicine and Public Health. The position is also responsible for providing various financial reports related to student accounts.
Main Duties and Responsibilities:
I. Student Accounts Management
- Implements various services and activities pertaining to student accounts for the Ateneo School of Government and the Ateneo School of Medicine and Public Health
- Configures and manages tuition and fees in the Student Information System (Ateneo Information Management System [AIMS] and Student Access Module System [SAMS])
- Enters tuition receipts by generating cashiers’ Daily Collection of Tuition Receipts, and encoding tuition receipt payments
- Posts tuition receipts and places individual assessments of students to process students with underload and overload
- Records student accounts adjustments, scholarships, refunds, and tuition credits for proper charging
- Updates records of students’ subsequent payments for every installment
- Prepares certification of breakdown of tuition and fees and certified true copy of tuition receipts, as requested by students for reimbursement purposes
- Provides support to the Office of the Bursar during enrollment period, by accessing the AIMS and correcting student balances, when necessary
- Matches data in the AIMS and the SAMS, and sends notification of tuition balances to students
- Responds to inquiries of students related to tuition and other fees on a regular basis, especially during enrollment period
II. Financial Reporting
- Performs various activities pertaining to financial reporting, and submits reports to the Students Accounts Head for review
- Generates monthly reports of income summary for tuition, basic fees, sundry reports, total assessments and payments, credit card and check free reports
- Prepares monthly journal entries on tuition assessments and payments
- Generates monthly receivable accounts and performs reconciliation between general ledger and subsidiary ledger on a monthly basis
- Prepares Statements of Account (SOA) upon request of the Graduate Schoolof Business - Center for Continuing Education (GSB-CCE) and the Ateneo Law School - Mandatory Continuing Legal Education (ALS-MCLE)
- Prepares quarterly aging of accounts receivables for ASOG and ASMPH
- Provides needed data for various reports pertaining to tuition-related revenues
- Prepares year-end audit schedules for accounts receivables and income accounts, and audit schedules for receivables and revenues for ASOG and ASMPH
III. Performs other duties as may be assigned by the immediate supervisor, or
any authorized representatives
Minimum Qualifications
Knowledge, Skills, and Abilities:
- Technical Acumen: Knowledge of accounting principles and practices, analysis and reporting of financial data
- Technological Savvy: Ability to utilize information technology and computer and internet systems to accomplish tasks
- Administrative: Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology
- Records Management: Ability to systematically organize, store, update, and protect records throughout their life cycle – from the time of creation or receipt to their eventual disposition/turnover
- Customer Service Skills: Ability to understand client perspectives and respond to their needs with urgency and serious attention

Education and Experience Requirements:
- Bachelor’s degree graduate
- At least 6 months to 1 year of relevant work experience
