Job Description

Summary of Work Activities and Responsibilities:


Under the direct supervision of the Assistant Vice President for Social and Environmental Engagement for Development and Sustainability (AVP-SEEDS), the Assistant to the AVP-SEEDS provides administrative assistance to the AVP-SEEDS in the general supervision and coordination of the different offices under the SEEDS sub-cluster, and in ensuring that the short-term and long-term plans for the SEEDS sub-cluster are implemented.

Main Duties and Responsibilities
I. Sub-Cluster Management Support

  • Coordinates with various offices and external stakeholders for the achievement of the Office of the AVP-SEED’s mandates
    • Facilitates the process of identifying stakeholder requirements, determining trends, areas for improvements and modifications that may provide better service to the clients
    • Builds partnerships with employees from individual to teams to unit heads, with the intention of understanding their needs
  • Monitors the achievement of the sub-cluster’s goals, projects and KPIs, keeping track of the deliverables, timelines, agreements, including possible sustainability measures
    • Monitors the implementation of the sub-cluster’s strategic and action plan
  • Reviews and collates budget proposals of the SEEDS sub-cluster, including the OAVP, and submits consolidated recommendations to the AVP-SEEDS
  • Reviews and collates HR- related requests from offices (e.g., workforce complement, hiring, development, promotions, separation), and submits consolidated recommendations to the AVP-SEEDS
  • Investigates concerns and escalations and proposes preventive mechanisms and/or risk mitigation
    • Manages the relationship concerns and difficulties and conflict situationsnamong personnel and/or offices with the AVP-SEEDS
  • Provides administrative support to the Ateneo Service-Learning (SL) Program Management Team

II. Office Management Support

  • Manages the daily operations of the OAVP-SEEDS
    • Oversees the Office requirements in relation to budget, physical space maintenance or improvements
  • Drafts the necessary communications and guidelines, and collaborates with stakeholders on behalf of the Assistant Vice President
  • Where appropriate, conducts initial reviews of documents submitted to the Assistant Vice President, ensuring that all documents submitted are adequately supported, and makes necessary recommendations
  • Organizes sub-cluster activities and events and coordinates with the relevant Central Administration offices for execution of activities
  • Manages the performance of employees in the Office by setting standards/targets, monitoring and evaluating performance, and providing development opportunities
  • Represents the AVP-SEEDS in meetings and gatherings, when appropriate

III. Program Management and Evaluation Support

  • Conducts studies and audits policies, systems, processes, and documentation as it relates to social development and sustainability with government regulations, University standards, and international standards
  • Monitors design, content, and implementation of social development, social formation, and sustainability programs and activities across units
    • Reviews program content to ensure its alignment with the University’s social, community, and environment development framework
  • Promotes SEEDS initiatives, projects, and accomplishments through creation and publication of online articles on the University website and other official social media platforms, in close coordination with the University Marketing and Communications Office and for approval of the AVP-SEEDS

Minimum Qualifications

Knowledge, Skills and Abilities:

● Networking and Relationship Management – establishing, developing and maintaining
productive relationships with partners and other stakeholders over time. Ability to innovate
and partner changes; able to collaborate and deal with different levels of stakeholders.
● Budget and Resource Management – ability to project, maintain, and monitor
SEEDS-related budget. Ability to systematically and scientifically track performance and
development of employees, and provide recommendations on where to allocate resources
● Project Management – defining clear goals, formulating and implementing project plans
and evaluating outcomes with accuracy and precision. Ability to manage multiple priorities
as well as flexibility to adapt to and change new systems and methodologies. (attention to
details & project management are must haves)
● Interpersonal Skills – ability to effectively relate, collaborate, and negotiate with different
job levels in different circumstances, taking into consideration their needs, feelings, and
context. Equally comfortable dealing with staff, faculty and administrators/management

● Critical Thinking – ability to collect and consolidate information, and make sound
decisions & solve problems by weighing possible benefits, risks, and other implications; with
a legal sense or familiarity with legal laws or regulations
● Writing – ability to communicate effectively in writing as appropriate for the needs of the
audience
● Technological Proficiency - strong knowledge on presentations and several MS
applications (Excel, PowerPoint, Visio etc.), creating various dashboards and reports
● Social Development and/or Sustainability – strong knowledge of Social Development
and/or Sustainability-related concepts and practices


Education and Experience Requirements:
● Bachelor’s degree
● With at least 3 years experience in administrative work
● With at least 3 years experience in social development or sustainability-related work
● With at least 1-2 years experience in writing/ communications- related work
