Summary of Work Activities and Responsibilities:
The Student Affairs Professional is responsible for coordinating and providing student leadership formation and student organization development programs in the Higher Education - Loyola Schools (HE-LS). These include coaching and mentoring student leaders, ensuring the alignment of student activities and goals to the vision, mission, and values of the university, and providing guidance to students, to ensure they remain compliant to the policies and guidelines for student activities set by the School.
Main Duties and Responsibilities:
- Leadership Formation
- Works directly with students to provide guidance, coaching, and mentoring towards leadership development
- Designs and implements leadership development programs, activities, and modules, and sees to their execution and implementation
- Sees to the development and progress of student leaders inspired by the Ignatian tradition of service and excellence
- Ensures the evaluation and documentation of implemented programs and the tracking of leadership development of students
- Coordinates with University and external individuals and/or groups to facilitate tasks and processes relevant to leadership development
- Organization Development
- Coaches and mentors student leaders in developing innovative organization projects, programs, and initiatives for the development of student organization culture and values; management of change; project planning, execution, and evaluation; and member development, engagement, and wellbeing
- Conducts organizational needs analysis among student organizations, and leads the development of appropriate plans and programs, to ensure all student organizations are equipped with skills, knowledge, and experience to perform to the highest standards
- Works directly with student organizations to assess performance and development, and to ensure effective use of resources, alignment of goals and projects to the vision and mission of the University, and compliance with relevant University policies and procedures
- Conducts research on relevant student formation aspects that inform and educate student activities programming
- Cultivates and manages student organization partnerships, faculty partnerships, and alumni networks that enrich student activities formation and programming
- Administrative Support
- Serves as a resource and guides students in planning, organizing, implementing, and evaluating student activities
- Supervises the implementation and execution of student activities, programs, and projects, to ensure compliance with University student formation goals, contractual obligations, and University policies
- Processes and liquidates cash advances for approved projects and official business trips in accordance with University policies and procedures
- Engages daily with student organizations for the assessment of their Project Proposal Forms and Budget Requests and Liquidations
- Prepares and contributes to the development of reports and internal communications
- Nlanages a designated Coordinatorship deemed necessary by the Director
- Serves as liaison to relevant partners and networks, and provides assistance and collaboration, where appropriate
- Represents the Office in assigned University committees
- Collaborates with students, staff, and departments to enhance the quality of student activities in the HE-LS
- Performs other duties as may be assigned by the immediate supervisor, or any authorized representative
Minimum Qualifications
Knowledge, Skills. and Abilities:
- Leadership and Organization Development: Knowledge of leadership development frameworks and practices; Knowledge of organization development practices
- Program Management Skills: Proficiency in planning, executing, monitoring, and evaluating programs to ensure they meet objectives and outcomes
- Module-Making Skills: Ability to design modules that align with the program‘s learning objectives
- Facilitation and Presentation Skills: Competency in leading discussions, trainings, and delivering presentations effectively
- Individual and Group Processing Skills: Ability to conduct individual conversations and facilitate group reflections/ discussions, guiding participants towards deeper understanding
- Mentoring and Coaching Skills: Proficiency in guiding, supporting, and developing students or team members through structured mentoring and coaching
- Administrative Support Skills: Knowledge of administrative and clerical procedures such as drafting memos and interdepartmental communications
- Communication Proficiency: Demonstrates excellent oral and written communication skills, effectively conveying information and ideas
- Conflict and Crisis Management: Ability to attend to the morale and organizational-climate issues by identifying and preventing potential negative confrontations; Ability to make others see things from another perspective
- Networking and Relationship Management: Ability to establish, develop, and maintain productive relationships with partners and other stakeholders, and facilitate collaboration among people; Ability to collaborate and deal with different levels of stakeholders
- Research Skills: Skills in research methodologies; Ability to gather, analyze, and synthesize data from diverse sources
- Adaptability and Efficiency: Ability to adapt to changing priorities and work effectively in a fast-paced environment
- Technological Savvy: Demonstrates proficiency in Microsoft Office Applications and other Internet applications; Ability to navigate and manage social media
- Time Management Skills: Displays a strong work ethic, adheres to systematic approaches, and manages tasks effectively, even under tight deadlines and pressure
- Organization and Prioritization of Work: Ability to effectively plan and coordinate the delivery of required outcomes, according to importance and urgency; keen to details
Education and Experience Requirements:
- Graduate of any Bachelor‘s Degree
- Experience as a student leader is an advantage
- Experience working with student leaders and student organization
