Position Summary
The Admin Assistant will provide daily administrative support to the Admin Team, ensuring smooth operations across MMI, 7Gen, and other affiliated companies. This role focuses on assisting with documentation, logistics, office management, and coordination of admin-related tasks.
Key Responsibilities:
Daily Admin Support
- Assist the Admin Team in handling day-to-day tasks and requests.
- Attend meetings, prepare minutes, and monitor follow-ups.
- Handle admin concerns and coordinate resolutions.
- Assist in managing schedules, meetings, and travel arrangements for executives and for other directors or leads.
Office & Supplies Management
- Monitor and update inventory of supplies across all companies.
- Process office supply requests and ensure timely delivery.
- Assist in fixed asset tagging and record maintenance.
- Manage ID editing, printing, and distribution.
Logistics & Coordination
- Coordinate logistics for meetings, events, and company activities.
- Assist in booking business travels (flights, hotels, transportation).
- Handle messenger tasks and dispatch coordination.
- Provide support in IT Mancom meetings and coordination.
Finance & Documentation
- Assist in preparing and processing RFPs for MMI/7Gen.
- Support liquidation of expenses and maintain proper documentation.
- Monitor and process billing concerns (e.g., Smart billings).
- Maintain filing system for admin records and reports.
Employee Engagement & Events
- Assist in planning and execution of employee engagement activities.
- Support coordination of events and programs for MMI and 7Gen.
Kualifikasi Minimum
Qualifications:
- Graduate of any business or office-related course.
- At least 1 year of work experience in admin support (fresh grads with internship experience may apply).
- Organized, detail-oriented, and able to multitask.
- Proficient in MS Office/Google Workspace.
- Good communication and coordination skills.
- Flexible and reliable team player.
Reporting Line
- Reports to: Admin Head
- Coordinates with: Admin Team, HR, Finance, IT, and other departments.
