Job Description

We are seeking a dedicated and experienced Vessel Accountant. Vessel accountant is responsible for completing monthly, quarterly, and annual close for Operating expenses (OPEX) in accordance with applicable accounting standards (e.g., IFRS) and local requirements added to Group’s internal procedures and controls.

Responsibilities for this position may include but are not limited to:

<ul>
	<li>Financial Close &amp; Reporting: Execute monthly, quarterly, and annual financial close procedures, ensuring compliance with global accounting standards. Prepare and deliver comprehensive external OPEX reporting packages.</li>
	<li>Operational Accounting: Oversee vessel OPEX accounting, including vendor invoices, bank transactions, accruals, foreign currency revaluations, and intercompany charges. Ensure timely processing of Final Disbursement Accounts, insurance, and intercompany invoices.</li>
	<li>Cash Management: Monitor cash positions, initiate funding requests, and administer payment transactions. Develop insightful monthly OPEX cash flow forecasts.</li>
	<li>Reconciliation &amp; Compliance: Review and reconcile vessel-level financial statements, perform manual account matching, and manage intercompany reconciliations. Coordinate quarterly P2P compliance reviews.</li>
	<li>Documentation &amp; Reporting: Keep meticulous records through structured systems, prepare related party invoices, and ensure proper archiving. Consolidate and reconcile owner-specific cost allocations.</li>
	<li>Project Accounting: Manage financial aspects of CAPEX, drydock, and special maintenance projects. Review project forecasts and conduct financial performance analysis.</li>
	<li>Collaboration &amp; Innovation: Work closely with various departments, drive accuracy in closing activities, and continuously improve routines and reporting structures.</li>
</ul>

<ul>
	<li>Internal Controls &amp; Audit: Execute internal control activities, support external audits, ensure compliance with IFRS and US GAAP, and perform reconciliations to maintain data integrity.</li>
	<li>Operational Support: Identify and implement process improvements, address vendor inquiries, review and approve vendor setups, and validate customer and banking documentation.</li>
	<li>Process Enhancement: Contribute to the design of accounting systems and workflows, provide support to the P2P team, and prepare documentation for P&amp;I claims and maritime insurance cases.</li>
	<li>Compliance &amp; Reporting: Ensure alignment with internal compliance guidelines, support broader finance and fleet management teams, and provide ad hoc reporting and analysis.</li>

Vessel Accountant

The Purchaser will be responsible for the operational purchasing and logistics for the vessel which includes activities such as handling of requisition and orders, logistical services and supplier management.

Responsibilities for this position may include but are not limited to:

	<li>Verify requisition details accuracy and support documents as needed, answer supplier and customer inquiries about order changes or cancellation.</li>
	<li>Obtain quotation from approved supplier based on the requirements</li>
	<li>Review prices and product specification from suppliers to determine which would provide best offer</li>
	<li>Place purchase orders upon approval by Technical Superintendent</li>
	<li>Monitor and expediting orders, verifies receipt of items by comparing items received to items ordered, resolves shipments in error with suppliers</li>
	<li>Ensure that invoice accuracy as per received order and proceed the approval of payment</li>
	<li>Evaluate supplier performance in terms of product quality and delivery efficiency</li>
	<li>Ensure suppliers comply with relevant requirements in ISO 9001/14001 and company policies</li>
	<li>Facilitate collaboration among various departments to ensure procurement and accounting requirements are met efficiently</li>
	<li>Monitor shipments to ensure accurate receipt of the ordered items from suppliers</li>

The Data Analyst / Data Encoder ensures accurate and complete entry of equipment technical details, spare part lists, and maintenance tasks into AMOS, based on data identified by Marine Engineers. Sourced from vessel drawings, manuals, and technical references, the data must maintain integrity between equipment, spares, and maintenance tasks. Encoding is typically done using Excel or SQL scripts, but the employee is encouraged to suggest improved or more efficient methods. All work must follow company and maker standards while supporting continuous improvements in data handling and validation.

	<li>Receive and process equipment technical details, spare part lists, and maintenance tasks identified by Marine Engineers from vessel drawings, manuals, and other references.</li>
	<li>Prepare and standardize data for encoding, ensuring correct structure, formatting, and alignment with company and maker standards.</li>
	<li>Encode data into AMOS, using Microsoft Excel, SQL scripts, or other approved methods that maintain the integrity between equipment, spares, and maintenance routines.</li>
	<li>Maintain clear and organized work files for each vessel project, including raw data, processed templates, and final upload records for traceability and quality control.</li>
	<li>Perform data checks and validations to ensure consistency, accuracy, and completeness prior to system upload.</li>
	<li>Suggest and implement improvements in data preparation, encoding methodologies, or tools to enhance efficiency and accuracy.</li>
	<li>Coordinate with Marine Engineers and project stakeholders to clarify data requirements or resolve discrepancies.</li>
	<li>Adhere to project timelines and support documentation standards for audit, handover, and future reference.</li>

	<li>Coordinate with the Accounts Payable and Accounting teams to resolve missing invoices for received purchase orders, and follow up with the supplier as needed</li>
