Job Description
- To provide administrative and technical assistance to the Group by maintaining an efficient and reliable record filing, orderliness of all files, reports and ensuring smooth flow of operations through set standards and expected outputs.
- Assists in the preparation of monthly/regular reports.
- Assist in the preparation of memos/letters for FME Managers.
- Monitors the flow of documents by recording all incoming and outgoing forms.
- Monitors stock levels of the section’s supplies and updates its monitoring file.
- Maintains and adheres to strict confidentiality of all files and records.
- Ensures the safekeeping and security of any and all assigned equipment, materials and supplies.
- Ensures compliance to established company guidelines and policies.
- Participates in hospital functions and activities assigned by the FME Managers.
- Performs additional tasks assigned by the Administrative Officer/ FME Managers.
- Accomplishes all tasks in a timely manner, ensuring completeness and accuracy of report.
- Provides orientation to all units/department in the use of JRS system.
- Issues Request Issuance Slip (RIS) to FME sections with corresponding JRS and supporting documents.
- Prepares Request for Payment (RFP) for Preventive Maintenance Contracts of major equipment of FME.
- Monitors the timely submission of all sections and units submittal requirements.
- Routes all necessary outgoing documents of all sections of FME to other units of the St. Luke’s Medical Center.
Minimum Qualifications
- Graduate of any four-year course
- At least with one (1) year work experience as Secretary or Office Assistant.
- Strong analytical and planning skills;
- Good communication and presentation skills;
- Excellent problem-solving skills;
