Job Description

Job Summary

The HR Administrative Associate handles the processing of internal benefits including the incentive scheme/s, medical and life insurance, the uniform inventory and issuance process, and the employee separation clearance process.

Essential Duties and Responsibilities

Benefits Administration

  • Implements all standard processes related to the administration of internal benefits, specifically, the Perfect Employee Reward and the Company’s Medical and Life Insurance Plans.
  • Complies with all requirements, e.g., enrollment requirements, invoice processing, filing of reimbursement claims, of the two insurance providers (Medicard and Sunlife) to ensure that employees can avail of these benefits without problem or delay.
  • Coordinates and ensures that all employees undergo the required annual physical check-up and follow-throughs.
  • Assists employees when enrolling their dependents to the company’s HMO plan by advising them of the requirements to complete and updating them on the processing.
  • Coordinates with BIR Revenue District Offices for confirmation of registration and transfer of employees, including the encoding of 2305 forms in the BIR system
  • Assists in the processing of the statutory benefits, as assigned by the supervising officer
  • Ensures that all systems, e.g., PER, being used in the administration of benefits are efficient and accurate.
  • Accounts and maintains a system of inventory of company uniforms.
  • Ensures that uniforms are released to employees upon regularization and upon request.
  • Human Resource Information System and Employee Records
  • Assists in encoding employee data in the HRIS, as assigned by the supervising officer.
  • Prepares Company IDs and Proximity Cards and maintains the upkeep of the ID Printer and supporting program.
  • Prepares employment certifications, sans compensation info, to be signed by the HR Director or authorized signatory, for non-confidential employees upon request.
  • Maintaining and filing of employees’ personal records and documents

Employee Relations

  • Ensures that the clearance of former employees is processed as scheduled
  • Ensures that the final pay checks are released to resigned employees, immediately once turned over by the Finance department
  • Ensures that resigned employees sign all necessary documents upon claiming of final pay (e.g. Release and Quitclaim, Check Voucher, BIR 2316 receiving copies).

Others

  • Facilitates the processing of purchase requisition forms for uniform orders
  • Handles inventory and upkeep of HR office supplies
  • Prepares and submits all required reports.
  • Performs other assigned HR responsibilities.

Minimum Qualifications

  • Bachelor’s degree with extra-curricular activities in school
  • Good understanding of the Labor Code and all statutory benefits-related processes and requirements
  • Detail and process-oriented and highly organized
  • Analytical and a problem-solver
  • Pleasant, highly credible with above average communication skills
  • Patient and persistent
