Job Description

The Project Administrator performs an administrative, technical, organizational and supervisory role in support of ENDEC, Inc. construction projects.

The ENDEC Project Administrator works as part of the home office construction management team working alongside ENDEC, Inc. administrative, financial and management staff, as well as site-based construction management staff and our subcontractors. The Project Administrator will interface with architects, engineers, construction managers, supervisors, planners, surveyors and subcontractors and our clients. The ENDEC, Inc. Project Administrator will share responsibility for home office coordination and administration of construction quality control, project schedule management, quantity surveying as well as site health and safety.

The ENDEC, Inc. Project Administrator will be responsible to the Project Manager and Quality Control Manager for daily assignments, workload management, and performance monitoring.

Project Administrator typical work activities

Work activities vary depending on the nature of the project, but may include:

  • Coordinate and manage the material testing and other services on various construction projects
  • Manage construction and administrative project equipment inventory control to ensure field staff has the necessary equipment to perform construction management and inspection services.
  • Assist in or with the following:
    • Daily coordination and communication between site/field work and home office work.
    • Documentation of construction contractor’s performance with regard relative to safety, quality, schedule, and contract compliance.
    • Review change order modification requests for entitlements for projects of various sizes depending on skill level.
    • Coordination of design and performance of the project quality control plan among sub-contractors, Architects, Engineers, clients, and end-users.
  • Coordinate, collate, and present project status reports on daily, weekly and monthly basis.
    • Coordinate and schedule utility outages as assigned.
    • Provide input on evaluation of contractors.
  • Track estimates, order changes, work authorizations, and invoices.
  • Prepare contract-in-process payments.
  • Maintain as-built drawings.
  • Audit daily inspection reports to assure that quantities and other information are correct on audit daily inspection reports for completeness.
  • Liaise with field construction management, quality and inspection team, and other contractor personnel.
  • Maintain current records of contractor progress payments, contract drawings, and other documents.
  • Assist the Director of Construction Management and Quality Manager with the administration of projects.

Minimum Qualifications

  • Preferably, a graduate of BS Civil Engineering or other Construction Management/Administration Course.
  • Preferably with at least 1-year work related experience.
  • Has a project management background.
  • Excellent computer skills including Microsoft Office applications.
  • Demonstrated excellence in time management skills.
  • Excellent interpersonal skills.
  • Excellent written and oral communication skills.
  • Amenable to do administrative and field works (project inspection, kick off etc.).
  • Amenable to working with a Construction and Quality Manager.
  • Ability to:
    • Work in a team fostered and multitasked environment.
    • Prioritize and organize work.
    • Adapt to a flexible schedule.
