Job Description

CLEAR Corporate is looking for an outstanding Virtual Receptionist with a clear and neutral accent. Someone who is self-motivated, work-dedicated, flexible and organized.

Role

The Virtual Receptionist provides admin support to the team and is primarily in-charge of implementing an effective phone call system, such as taking the phone calls from existing patients to make or change an appointment, diverting calls, etc. The receptionist is also involved in the documentation procedure and other admin tasks in both clinics of the client.

Daily duties include:

  • Handling all phone calls effectively with politeness and in professional manner, and follow the proper procedure when requested to divert the call
  • Triaging new patient referrals and schedule appointments for them
  • Managing incoming (virtual) faxes from the clinic's inbox and import them into the appropriate patient's file, then forward to the relevant doctor
  • Performing admin tasks such as reports, documentations and updating of patients' records
  • Providing support and assistance to the client’s onsite team with back-office work as required
  • Contributing to the team effort
  • Performing other duties as requested by the client or assigned by the management.

Minimum Qualifications

  • Minimum 3 years of work experience in an admin role
  • At least 1-year call handling experience
  • Experience in handling Australian accounts or with slight Australian accent, an advantage
  • Proficient in MicroSoft Office applications such as Word, Outlook, Excel, PowerPoint
  • Experience in any medical-related software such as Medical Doctor (MD) and PracSoft (PS), an advantage

  • Strong work ethic, with respect for confidentiality and the sensitivity of information
  • Excellent call handling skills
  • Technically proficient, fast learner and highly trainable
  • Ability to multi-task effectively and exercise flexibility, initiative, good judgment and discretion
  • High level of professionalism and attention to detail
  • Excellent English communication skills both verbal and written
  • Ability to work with minimum supervision and harmoniously cooperate with offshore teammates

Be advised that this post will initially be on a Work from Home (WFH) setup until further notice that will be physically required to report in the office in Paseo de Roxas, Makati City.

Below is the minimum IT requirement specs for the WFH set-up:

  • Operating System - Windows 10 Pro
  • RAM - 4 GB (For 64-bit)
  • Hard Disk - 500 GB
  • Web Cam - Anything that supports at least 720p resolution
  • Audio - Head set with mic (preferably with noise cancelling features)
  • Internet Speed - At least 10 Mbps
