Tendering and Contract Coordinator  

The position holder is responsible for the Tender & Contract Coordinator has the responsibility to organize and supervise preparation and submission of tenders, bids and RFQs and responsible to prepare the technical package and other related documents needed for submitting tenders, proposals and RFQs.

Outcomes Expected and Responsibilities:

Project Concept and Screening

• Assist in the preparation of project conceptual reports on energy storage.
• Responsible in Stakeholder mapping
• Assist in monitoring charging code and ensure project tags are available

Preliminary and Engineering Assessment

• Ensure all documents are secured in relation to transactions with lenders, Regulatory, and Finance to Commercial Operations Business Unit (COBU) regarding the projects.
• Participates in the development of business and vendor relationships.
• Supports the technical due diligence for project financing.
• Check completeness of Project Charter and Project Risk Management Plan
• Assist in securing and monitor all required permit and certifications in coordination with BU Compliance and Regulatory Team
• Review and Creation of AFE
• Arrange and lead biddings
• Facilitate bid Meetings and Kick Off Meetings
• Ensure bid documents are evaluated with recommendation on time
• Ensure complete handover documents to Execution on time

Feasibility Study and Tendering

• Collate and ensure proper documentation within the tendering and contract process
• Coordinate the preparation and submission of Request for Quotations (RFQs) and other tender documents that are responsive to client requirements and in compliance with company objectives are completed in a timely manner
• Secure technical and financial feasibility reports of energy storage projects.
• Run tender processes in coordination with Development Design and Engineering Manager.
• Scrutinize Contract Packages and RFQ proposals
• Lead the tender and Contract process
• Ensure that all Tenders are executed according to Tender Process and internal requirements with Tender Milestones and Tender Review Meetings.
• Oversees the full life-cycle of proposal development, including planning, scheduling and managing competitive proposals, with end-to-end ownership and command of proposal development and related support processes.
• Clearly defines Scope of Work and Services offered and identifies any clarifications or exceptions. Coordinates responses to the inquiries and /or clarifications

Project Development

• Check if all details and specifications of the project meet the needed requirements
• Provides assistance in supervising the project development up to the test and commissioning stage.
• Assist in ensuring contractual obligations are met and attend technical meetings with Customers and Suppliers/Contractors.
• Manages simultaneous complex energy projects.
• Assist in monitoring progress and updates all related energy storage projects.
• Provides timely and accurate internal and external reports.

• 5 years of relevant industry experience in project development of power or storage.
• 5 years of Project experience
• Possess enough experience in energy storage systems involving project development otherwise
• Licensed engineer
• Strong analytical and planning skills;
• Good communication and presentation skills;
• Excellent problem-solving skills;
